Privacy Policy

How RepeatWork collects, uses, shares, retains, and deletes information for its website, CRM imports, AI processing, and manual follow-up tools.

1. Scope and roles

This Privacy Policy applies to RepeatWork's website, contractor application, customer import, CRM, and manual follow-up tools. It does not replace the privacy notices of contractors or third-party platforms connected to RepeatWork.

RepeatWork controls account, website, support, security, and product-usage information collected for our own business purposes. For lead and customer information a contractor places in its workspace, the contractor controls the information and RepeatWork processes it as the contractor's service provider.

2. Information we collect

  • Account and business information: name, work email, phone number, company, role, credentials, preferences, support requests, and account settings.
  • Lead and customer information: names, contact details, source, location, project or work details, notes, communication preferences, and follow-up status.
  • Imported content: conversation text, timestamps, participants, filenames, source metadata, uploaded text files, and other records a contractor submits or authorizes.
  • AI processing records: prompts, classifications, extracted facts, summaries, confidence or review status, and source evidence needed to verify output.
  • Manual follow-up information: queue status, reminders, draft text, contact eligibility, opt-out information, and activity a user records after contacting someone outside RepeatWork.
  • Technical and usage information: IP address, browser and device details, timestamps, session and login records, pages and features used, diagnostics, and security events.
  • Demo request information: name, work email, and company submitted through our website form.

RepeatWork does not currently collect complete payment-card numbers or send follow-up messages on a contractor's behalf.

3. Sources of information

We receive information:

  • directly from account users and website visitors;
  • from files, exports, and conversation records a user uploads;
  • from a third-party platform a contractor explicitly authorizes, if an integration is active;
  • from hosting, authentication, storage, analytics, and AI service providers; and
  • automatically when someone uses our website or application.

4. How we use information

  • create and secure accounts and contractor workspaces;
  • receive imports, normalize records, detect possible duplicates, and preserve source evidence;
  • classify conversations and extract customer or job context for contractor review;
  • organize lead and customer records in the CRM;
  • operate manual follow-up queues, reminders, drafts, and statuses;
  • respond to demo requests, support questions, and privacy requests;
  • monitor reliability, prevent abuse, troubleshoot, and improve the service; and
  • comply with law, provider agreements, and valid legal process.

5. AI processing

When a contractor requests AI-assisted import, relevant conversation text, customer context, prompts, and structured output may be processed by RepeatWork and an AI service provider. AI may classify whether a conversation is work-related, extract contact and job facts, summarize context, or help prepare a draft for human review.

RepeatWork does not use Customer Data to train generalized AI models. AI output is not treated as verified fact until a contractor reviews it. We may retain input, output, and source evidence as part of the import audit trail and customer record.

6. How information is shared

We share information only as needed:

  • with authorized users of the contractor workspace that controls the record;
  • with hosting, database, backup, security, and private object-storage providers;
  • with AI providers for contractor-requested classification and extraction;
  • with Umami for website and product analytics;
  • with Telegram to deliver information submitted through our demo-request form to our team;
  • with a third-party platform when the contractor authorizes the connection;
  • for legal process, fraud prevention, security, or protection of rights; and
  • as part of a merger, financing, acquisition, or sale, subject to appropriate safeguards.

We do not sell Customer Data. We do not use contractor customer lists, phone numbers, or conversation content for RepeatWork's independent consumer marketing.

7. Thumbtack data

RepeatWork will access Thumbtack API Data only after Thumbtack approves the integration and a contractor authorizes its own account. We will request only permissions needed to import and organize that contractor's leads, customers, conversations, and related context.

We will not sell Thumbtack API Data, use it for advertising, build an independent lead directory, or treat a Thumbtack lead as consent for unrelated marketing. Additional details are in ourThumbtack Integration Notice.

8. Retention and deletion

We retain information while an account is active and as reasonably needed to provide the service, preserve contractor business records, maintain import evidence, enforce opt-outs, secure the service, comply with law and provider requirements, and resolve disputes. Retention depends on the data type, account status, contractor instructions, and applicable law.

Verified deletion requests are handled under ourData Deletion Instructions. Thumbtack API Data subject to Thumbtack's destruction requirement will be deleted promptly and no later than five business days after RepeatWork stops using the API or receives a qualifying Thumbtack request, subject to provider terms and applicable law.

9. Security

We use safeguards appropriate to the service, including encrypted transport, organization-scoped access controls, credential protection, restricted file storage, logging, backups, and incident response. No transmission or storage system is completely secure. Account owners are responsible for managing authorized users and protecting credentials.

10. Privacy rights and choices

Depending on location, individuals may have rights to access, correct, delete, restrict, object to, or receive a copy of personal information. Account users may contact RepeatWork directly. Leads and contractor customers should normally contact the contractor that controls their record; we will assist that contractor with a verified request.

Contractors must honor opt-out or do-not-contact requests received through any channel. Browser settings may limit certain analytics or storage technologies. We honor enabled browser do-not-track preferences in our configured analytics service.

11. Children

RepeatWork is a business service and is not directed to children under 18. Do not submit children's personal information unless it is necessary, lawful, and appropriately authorized for a legitimate business record.

12. Changes and contact

We may update this policy as the product, providers, or legal requirements change. The effective date identifies the current version. Questions and verified privacy requests may be sent to[email protected].
